PooTroop LLC ("we", "us", or "our"), a Louisiana limited liability company, operates the PooTroop mobile application and website (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.
1. Information We Collect
Personal Information
When you create an account or use our Service, we may collect:

Name and email address (provided by your Google or Apple account during sign-in)
•
Service addresses, including street address, city, state, and ZIP code
•
Number of dogs at each service address
•
Gate codes and property access instructions
•
Service preferences (frequency, preferred day)
Payment Information
We use Stripe to process payments. Your credit card number and billing details are collected and stored directly by Stripe and are never stored on our servers. We retain only a Stripe customer identifier and the last four digits of your card for display purposes.
Service Visit Records
When a technician completes a visit at your property, we collect:

Timestamps and approximate location (latitude/longitude) of each service event
•
Photos of your gate taken by the technician at the end of each visit, used to verify that the gate was properly closed after service. These photos are only collected for properties you have indicated have a gate, and are stored securely in our cloud storage and retained alongside the corresponding visit record.
Communication Consent Records
When you grant or revoke consent to receive email or SMS communications, we record the date, time, channel, and the IP address from which the change was made. This audit log exists to comply with the federal Telephone Consumer Protection Act (TCPA) and the CAN-SPAM Act.
Technician Information
If you are a service technician, we additionally collect:

Odometer readings (taken when you arrive at your first visit of the day and when you finish your last visit of the day) for mileage tracking
•
Service timestamps and location data during visits
•
Bank account details for payouts (collected and stored by Stripe Connect)
Device & Technical Information
•
Device identifiers and push notification tokens (for sending service notifications)
•
Device platform (iOS, Android, or Web)
•
Basic server logs (IP addresses, request timestamps, error data)
2. How We Use Your Information
We use the information we collect to:

Provide, operate, and maintain our pet waste removal service
•
Process payments and issue invoices
•
Schedule and route service visits to your addresses
•
Send service notifications (visit completed, upcoming visits, payment confirmations)
•
Communicate with you about your account, including support requests
•
Pay technicians for completed services
•
Track mileage for technician tax records and operational analytics
•
Improve our Service and develop new features
•
Diagnose errors, monitor performance, and understand how the Service is used
•
Enforce our Terms of Service and comply with legal obligations
3. Third-Party Services
We share information with the following third-party service providers, solely to operate, secure, and improve the Service:

Stripe — payment processing and technician payouts
•
Google Maps — address autocomplete and geocoding
•
Google and Apple — authentication (we receive your name and email from the provider)
•
Amazon Web Services (AWS) SES — transactional emails
•
Amazon Web Services (AWS) SNS — SMS notifications
•
Expo — push notification delivery
•
Amazon Web Services (AWS) — cloud hosting and data storage (including service photos). All data is stored in the United States.

PostHog — product analytics, including event tracking. In our mobile app, PostHog also captures session replays — a video-like reconstruction of your interactions with the app — used to understand usage patterns and diagnose problems. Session replays automatically mask all text inputs and images, and Stripe payment fields are never captured.
•
Sentry — error and crash reporting, which may include the device type, the page or screen you were on, and a user identifier when an error occurs
These providers act on our behalf under their own privacy and security policies.
4. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Service. If you request account deletion, we will remove your profile, contact information, addresses, gate codes, and other personal account data within 30 days.
Some records are retained beyond account deletion where we are required to keep them for legal, tax, or accounting purposes. Specifically, payment and invoice records may be retained for up to 7 years to comply with tax regulations; in those records, your name and contact information will remain associated only to the extent required by law. Service visit records, including gate photos, are retained for the life of the related visit record.
5. Data Security
We take reasonable measures to protect your information, including:

All data transmitted between your device and our servers is encrypted using HTTPS/TLS
•
Authentication tokens are stored securely on your device
•
Payment card data is handled exclusively by Stripe and never touches our servers
•
Database and file storage access is restricted to authorized systems only
No method of transmission over the internet is 100% secure.
6. Your Rights & Choices
You have the right to:
•
Access the personal information we hold about you
•
Update or correct your information through the app
•
Request deletion of your account and associated data
•
Opt out of email notifications at any time, either through the app or by using the unsubscribe link included in every non-essential email
•
Opt out of SMS notifications by replying STOP to any message you receive, or by toggling SMS communications off in your account settings (message and data rates from your carrier may apply)
•
Remove your payment methods at any time

7. Children's Privacy
Our Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.
8. Cookies & Similar Technologies
We use cookies and equivalent device storage for two purposes:

Essential — to keep you signed in and to remember your session.
•
Analytics — our analytics provider (PostHog) uses cookies and local storage to attribute events to a consistent user across visits.
We do not use advertising cookies, and we do not sell your personal information to advertisers or data brokers.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
